A driver qualification file is the set of records 49 CFR Part 391 requires a motor carrier to keep for every driver it employs. It proves the driver was qualified when you put them behind the wheel and that you have kept checking since. An investigator will ask for it first in an audit.

How long do I have to keep a driver qualification file?

For as long as the driver is employed, plus three years after they leave. Some underlying records have their own retention clocks, so the safest practice is to keep the whole file intact for the full three years rather than pruning it document by document.

DOT medical certificate: Two years maximum, and often shorter when a condition is being monitored.
Safety performance history: Requested from all DOT-regulated employers for the past three years.

Clearinghouse query: Full query before hire, with the driver’s consent on file.
